Design, Development & Implementation Proposal
1. Project Overview
We propose to design and develop a comprehensive Field Service Management (FSM) System that will enable the company to efficiently manage customer service requests, job assignments, field technicians, quotations, invoices, and management reporting through one centralized platform.
The system will connect the Back Office Team, Field Technicians, Management, and Customers, allowing service activities to be tracked and updated in real time.
2. Customer Service Request Management
Customers will be able to submit service requests directly through the system.
For customers who contact the company through phone, email, or other channels, the Back Office Team will be able to register the service request on their behalf.
Each request can contain information such as:
- Customer name and contact information
- Customer/company location
- Service category
- Description of the issue
- Preferred service date/time
- Priority level
- Photos and attachments
- Request date and reference number
- Current service status
3. Back Office Dashboard
The Back Office Team will have a centralized dashboard to monitor and manage service operations.
The dashboard will allow authorized users to:
- View new and existing service requests
- Create service requests manually
- Assign jobs to field technicians
- Reassign or reschedule jobs
- Set job priorities
- Track technician/job status
- View customer information and service history
- Monitor pending, ongoing, and completed jobs
- Review technician updates in real time
4. Technician Mobile Application
Field technicians will have access to a dedicated mobile application connected to the main system.
When a new job is assigned, the technician will receive a notification.
Through the application, technicians will be able to:
- View assigned jobs
- View customer contact and location details
- View service requirements
- Accept and start jobs
- Update job status
- Add service notes
- Upload before/after photos
- Record materials or parts used
- Record work performed
- Mark jobs as completed
- Capture customer confirmation/signature where required
All updates will be synchronized with the Back Office Dashboard in real time.
5. Job Status & Workflow
Each service request can follow a structured workflow, for example:
New Request → Assigned → Technician Notified → Accepted → On the Way → In Progress → Completed → Invoiced → Closed
This will provide management with clear visibility of every service request and its current status.
6. Quotation Management
Authorized users will be able to prepare quotations directly from the system.
Features will include:
- Create quotations
- Add services, materials, quantities, and pricing
- Apply discounts and VAT/tax where applicable
- Generate professional quotation documents
- Send quotations to customers
- Track quotation status
- Convert approved quotations into jobs/invoices
7. Invoice Management
The system will provide integrated invoicing functionality, allowing the company to generate invoices based on completed services or approved quotations.
Features can include:
- Invoice generation
- Automatic invoice numbering
- Customer and service details
- VAT/tax calculation
- PDF invoice generation
- Payment status tracking
- Paid/unpaid/overdue status

8. Reports & Management Dashboard
Management will have access to reports and operational statistics, including:
- Total service requests
- Open and completed jobs
- Jobs by technician
- Jobs by customer

- Quotations generated
- Quotation conversion rate
- Invoice reports
- Revenue reports

Reports can be filtered by date, customer, technician, job status, service type, and other relevant criteria.
Reports can also be exported to PDF or Excel where required.
9. Customer Management
The system will maintain a centralized customer database containing:
- Customer/company information
- Contact persons
- Multiple service locations
- Previous service requests
- Job history
- Quotations
- Invoices
- Notes and attachments
This will provide the team with a complete service history for each customer.
10. User Roles & Access Control
Different access permissions will be provided according to user roles, such as:
Administrator – Full system access and configuration.
Management – Dashboard, reports, financial information, and operational monitoring.
Back Office / Dispatcher – Customer requests, scheduling, technician assignment, and job monitoring.
Field Technician – Assigned jobs and job-related updates.
Customer – Service request submission and access to relevant service information, where applicable.
11. Notifications
The system can provide automated notifications for important activities such as:
- New service request received
- Technician assigned
- New job assigned to technician
- Job status changed
- Job completed
- Quotation created/approved
- Invoice generated
- Payment reminders
Notifications may be provided through in-app notifications and email, with SMS/WhatsApp integration available depending on the selected third-party services.

13. Project Objective
